Ask the association or its authorized manager for the current governing documents, architectural review requirements, application form and submission instructions relevant to the proposed work. Confirm which body makes the decision and where questions should go.

Do not rely only on what a neighbor was allowed to build. Their project, approval date or governing conditions may differ. If the property’s restrictions or your obligations are unclear, seek qualified legal advice before making a commitment that depends on an interpretation.

Keep the two review purposes clear

Orlando’s association guidance distinguishes private community restrictions from government ordinances. It explains that an owner modification may raise association questions even when a city building permit is not required.

Confirm the public permitting path with the authority for your parcel and separately confirm the association’s process. Ask whether one application requires evidence from the other in this jurisdiction. Avoid describing an association approval as a building permit, or a permit as proof that private restrictions have been satisfied.

Prepare one coordinated design package

Use consistent plans, dimensions, exterior materials and colors in the documents sent for review. Identify any selections that remain provisional. If one reviewer requests a change, check whether it affects the other application or the construction price.

Track each submission, document revision, response and condition in a simple register. Keep written approvals with the project file and ensure that the contractor receives the version actually accepted, including any relevant conditions.

  • What drawings, samples and property information are requested?
  • Are there meeting dates or submission cutoffs to account for?
  • What fees, deposits or site rules need clarification?
  • What evidence records the actual decision and conditions?
  • How are later design or material changes handled?

Include construction logistics in the review

Ask about authorized working hours, deliveries, parking, access and protection of shared areas where the community has applicable requirements. Coordinate these with the contractor’s plan rather than passing them along after mobilization.

Have the relevant parties explain responsibility for deposits, damage reporting and any necessary closeout inspection. Treat those obligations according to the actual documents and agreement. This article does not assume every association has the same rules or powers.

Resolve mismatches before ordering

If an approval includes a condition that conflicts with the drawings, budget or intended use, bring the parties together before purchasing or building the affected item. Obtain a clear revised decision rather than assuming the discrepancy will be overlooked.

Retain both public and association records after the work. They answer different questions in future maintenance, alterations or a sale. A coordinated approval file reduces uncertainty without turning either process into a guarantee about every aspect of the project.
